Receipt to CSV, with the items added up against the total

Drop receipt photos or PDFs. BillToCSV reads the items, re-adds them with the tax, and turns a receipt amber when the sum does not match the total printed on the paper.

    What is a receipt-to-CSV converter?

It reads a receipt, usually a phone photo or a scanned page, and writes its items and totals into a spreadsheet file: one row per item, with the merchant, date, tax and total alongside.

Receipts are harder to read than invoices. They are narrow, abbreviated, creased and often printed on thermal paper that fades, so reading a photo is never perfect. BillToCSV's answer is to check the arithmetic after reading: items plus tax must equal the printed total, and anything that does not is marked amber so you look at the paper.

What reading a receipt photo can and cannot do

    What the checks catch

    • A misread digit that changes a sum, which is most of them.
    • A missing or unreadable item amount.
    • Items plus tax that do not equal the printed total.

    What they cannot catch

    • Two misreads that cancel each other out.
    • A wrong item name or a wrong merchant name.
    • Handwriting, such as a tip or a signed total.

Treat the output as a fast first pass that is checked for arithmetic, not as a perfect copy. Look at the paper for any receipt that matters.

Receipt to spreadsheet in four steps

    1. Photograph or scan the receipt

One receipt per file. Lay it flat in even light with the whole receipt in the frame. The tips below make a real difference to how many digits are read correctly.

    2. Drop the files

JPG, PNG or PDF, up to 40 MB each. Each file gets its own review card.

    3. Compare the amber rows with the paper

Green rows tie. An amber row or an amber receipt means the numbers disagree, for example items that add to 41.20 against a printed total of 41.60. Edit the cell or accept it as printed.

    4. Download

The review CSV is the one meant for receipts: one row per item, with the check result beside it. The QuickBooks and Xero files are there too, for firms that enter receipts as bills.

Typing, a generic OCR app, or BillToCSV for receipts

How the three routes compare for a pile of receipts
What you compare Typing it in by handA generic OCR appBillToCSV
Effort per receipt Read the paper and type each item. Items filled in; you open each receipt to confirm them. Drop the photo, scan the amber rows.
Do the items add up to the total? Only if you stop and add them. Varies by app. Ask whether it checks. Always re-added with the tax; a receipt that does not tie turns amber.
A faded or misread digit You squint and guess. Silent unless the app cross-checks. Usually breaks the sum, so the receipt is flagged. A misread that still adds up is not caught.
Categories You choose. Often guessed from the merchant. Not guessed. Categorise in your own system.
What you get Rows in your own sheet. The app's own layout. A review CSV with a check result on every row, plus QuickBooks and Xero files.

Six habits that make receipt photos read better

    Lay it flat

Smooth out curled thermal paper under a book for a minute, or tape it to a plain sheet. Creases cut through digits.

    Light it evenly

Daylight from a window is ideal. Avoid your own shadow and avoid a flash, which washes out faded print.

    Fill the frame

Get the whole receipt in the picture, top to bottom, with the total at the foot. Crop away the background, never the receipt.

    Shoot straight down

Hold the phone parallel to the paper. An angle stretches the digits and makes 1, 7 and 4 harder to tell apart.

    Use scan mode

Your phone's document scanner flattens, straightens and sharpens in one go. A PDF from a scanner reads better than a snapshot.

    Keep the paper

Treat the file as a working copy. The receipt itself is the record, so keep it until the books are closed.

    Questions people ask

Can it read a photo of a receipt?

Yes: JPG and PNG photos, and PDFs. Reading a photo is OCR, so how well it works depends on the picture. A flat, bright, in-focus photo of the whole receipt usually reads well. A dim, skewed or cropped one often does not, and the result will say so.

How accurate is it on receipts?

Not perfect, and you should not treat it as perfect. OCR can misread a 3 as an 8 or drop a decimal point. Most misreads change a sum, so the items-plus-tax check catches them and the receipt turns amber. A misread that still adds up, or two errors that cancel out, is not caught, so spot-check the amounts against the paper for anything that matters.

What does the check do when a receipt has no subtotal or no tax line?

It only runs the checks it can. With no printed subtotal, the subtotal check is marked not applicable instead of passed. With a total but no tax line, it checks that the items add up to the total. A check that cannot run is never shown as a pass.

Does it work out expense categories?

No. It does not guess whether a receipt is fuel, meals or office supplies. Categorising needs your chart of accounts and your rules, so the Account column is left blank for you.

What columns does the receipt CSV have?

The review CSV has one row per item with the file name, merchant, date, currency, line number, description, quantity, unit price, amount, quantity × price, the difference, tax, a tied or check status, notes, and the receipt's subtotal, tax, total and check results. It opens in any spreadsheet app.

Can I put several receipts in one photo?

Use one receipt per file. A photo of a pile cannot be split reliably, and reading two receipts as one would make the totals meaningless. Photograph each one on its own.

    What about faded thermal receipts?

Thermal paper fades with heat and time, and a faded print can be unreadable to people and to OCR. Photograph or scan receipts soon after you get them, and keep the paper. If an amount cannot be read, the row is marked amber rather than left looking fine.

How are tips, discounts and fees handled?

A printed tip, service charge, discount or fee is read as its own row (discounts as negative amounts) and counted in the total check. A tip written by hand or a signature line is not read reliably. If a receipt turns amber because of one, edit the figures in the review card or enter that receipt by hand.

Can I import the file into QuickBooks or Xero?

The QuickBooks and Xero files treat the merchant as the supplier, so they suit firms that enter receipts as bills. If you record receipts as expenses, use the review CSV as a checked list instead. Verify the column headers against your own import page, because vendors change them, and ask your bookkeeper which route your books use.

    Are my receipts kept?

Files are processed in memory and deleted after conversion. Pages that need a second look may be sent to Google's Gemini API, where Google may keep them for up to 55 days under its terms. Uploads are not used for training. Details are on the privacy page.

    Is it free?

Yes, to try. The free allowance is 1 file per day, up to 10 pages, no account. Pro and Team plans raise the limits.
